Practical Deployment and Purchasing Questions
We've compiled a list of answers to common questions.
Apgile is designed for simple deployment using QR codes, NFC tags, or both.
For a QR-code deployment, the property only needs printed or displayed QR codes. Guests scan the code with their smartphone camera to access the available services.
For an NFC deployment, the property uses passive NFC tags that guests tap with a compatible smartphone. NFC tags do not require batteries, charging, wiring, gateways, or dedicated network equipment.
Staff can manage requests using supported phones, tablets, or computers already available at the property. No specialized guest hardware is required.
Yes. A property can operate Apgile entirely through QR codes, NFC tags, or a combination of both.
Each access point can be configured for a specific room, venue, table, cabana, pool area, or service location. The guest scans or taps, selects the required service, and submits the request from their phone.
This approach allows the property to begin without installing complex equipment or modifying its existing infrastructure.
Smartwatches are optional and are not required to deploy Apgile.
Staff can receive and manage requests through supported devices such as smartphones, tablets, or computers. A property may use smartwatches when they are useful for mobile teams, but they are not necessary for the system to operate.
When a guest submits a request through a QR code or NFC tag, Apgile routes the request in real time to the appropriate staff member or operational team.
The notification can include:
- The service requested
- The room, venue, or service location
- The time the request was submitted
- The current request status
- Any information provided by the guest
Routing can be configured according to the type of service, location, department, and escalation process.
Every QR code or NFC tag is linked to a specific location in Apgile.
The location can represent a:
- Guest room
- Restaurant table
- Pool or cabana
- Meeting room
- Lounge
- Beach area
- Building or floor
- Housekeeping zone
- Other defined service point
When a guest scans or taps the access point, Apgile automatically identifies where the request originated. The guest does not need to manually enter or explain the location.
Apgile monitors each request throughout the configured service workflow.
When a request is not acknowledged within the property’s selected response period, the system can escalate it to another staff member, operational team, supervisor, or manager.
The request remains visible until it is acknowledged, completed, or otherwise resolved. This helps prevent guest requests from being lost and gives management visibility into service delays.
Yes. The guest-facing experience can be configured to reflect the property’s brand.
Customization may include:
- Hotel or resort logo
- Brand colors
- Service categories
- Location-specific options
- Property-specific instructions
- Customized QR-code materials
- Branded NFC tags or NFC displays
The services shown to the guest can also vary by location. For example, a guest room can display housekeeping and amenity services, while a poolside NFC tag can display food, beverage, towel, or cabana-service options.
Configuration time depends on the number of locations, services, teams, and operational workflows included in the deployment.
A focused implementation for one venue or service can generally be configured more quickly than a property-wide deployment. Because Apgile uses QR codes and passive NFC tags, installation does not require wiring, construction, gateways, or complex hardware deployment.
The implementation process normally includes:
- Identifying the locations and services to be included
- Configuring the guest-facing service options
- Assigning staff teams and routing rules
- Defining acknowledgment and escalation procedures
- Preparing the QR codes and NFC tags
- Testing the complete request workflow
- Training the relevant staff
- Launching the service
Apgile provides a deployment plan after reviewing the property’s requirements.
Integration requirements are reviewed individually because every property uses a different combination of operational platforms.
Apgile can provide API-based data access, and connections may be possible when the property’s existing system provides the required technical access.
During the technical review, Apgile evaluates:
- The system to be connected
- Available APIs or technical documentation
- Information that needs to be exchanged
- Authentication and security requirements
- Development and testing requirements
- Implementation responsibilities
- Any associated integration costs
The QR-code and NFC guest experience can also be deployed as a focused Apgile workflow without requiring an immediate integration with every existing property system.
Apgile provides implementation guidance and client support according to the selected deployment plan.
Onboarding can include:
- Configuration of locations and services
- Setup of operational teams
- Request-routing configuration
- Escalation-rule configuration
- Administrator and manager orientation
- Staff guidance for acknowledging and completing requests
- Pre-launch workflow testing
- Launch assistance
- Post-launch technical support
Because guests use their own smartphones and staff can use supported devices already available at the property, training can focus primarily on the service workflow rather than on learning specialized hardware.
The commercial proposal should specify the included training sessions, support channels, support hours, response expectations, and any ongoing configuration assistance.
Guests can access the service experience by scanning a QR code or tapping an NFC tag without downloading an application.
Depending on the configured workflow, Apgile may process information such as:
- Service requested
- Request location
- Date and time of submission
- Request status
- Staff acknowledgment and completion activity
- Information the guest voluntarily provides
Staff access should be limited to authorized users. Property-specific requirements relating to access permissions, reporting, retention, deletion, and operational data should be documented during implementation.
Detailed privacy, data-processing, and retention information is available during the purchasing process and in the Apgile Privacy Policy.
Apgile pricing is tailored to the property’s deployment requirements.
The proposal may consider:
- Number of properties
- Number of rooms, venues, or service locations
- Number of QR-code and NFC access points
- Services available at each location
- Number of operational teams or users
- Request-routing and escalation requirements
- Branding and customization
- NFC-tag production requirements
- Integration or custom-development work
- Training and ongoing support
QR codes can provide a particularly simple starting point because they can be printed or displayed without electronic installation. NFC tags can be added where a tap-based experience is preferred.
After a discovery conversation, Apgile provides a proposal based on the property’s intended scope and rollout plan.
Yes. A property can begin with one venue, department, floor, or service workflow before expanding Apgile throughout the hotel or resort.
A pilot deployment could begin with:
- Pool and cabana service
- Guest-room amenities
- Housekeeping assistance
- Room-service tray pickup
- One restaurant or lounge
- A selected group of rooms
- One building or floor
- Conference or meeting areas
QR codes and NFC tags can be configured independently for each participating location. This makes it possible to launch a focused pilot without installing complex infrastructure throughout the entire property.
The property can use the initial deployment to evaluate:
- Guest adoption
- Staff response
- Request-routing rules
- Response times
- Service completion
- Escalation procedures
- Operational performance
Additional locations and services can then be introduced progressively.
Every hotel and resort operates differently. Apgile can review your service environment, recommend the appropriate combination of QR codes and NFC tags, and define a deployment plan based on your locations, teams, and operational priorities.
